DAILY TASKS

  • Provide customer service, including responding to concerns, complaints, violations, and CC&R resolutions as submitted via e-mail, phone, or mail; respond to maintenance requests
  • Document receipt of violation reports and send appropriate notices to homeowner
  • Document receipt of violation resolutions and verify of compliance with management committee
  • Assess and record fines as necessary according to community's fining schedule
  • Track maintenance requests and confirm completion with management committee
  • Communicate with vendors as needed
  • Upload bank lockbox information into management software

WEEKLY TASKS

  • Maintain and update community member roster
  • Provide "Welcome Home" packet to new community members
  • Organize and supervise maintenance needs and services
  • Update website

MONTHLY TASKS

  • Community drive-around property inspection and documentation of violations; inspection of common area and facilities
  • Deactivate pool keys as necessary for overdue balances
  • Prepare and distribute monthly statements
  • Prepare executive session and general session meeting agendas, financial reports, community information updates (i.e. attorney, collection, and violation updates), and bids (where necessary); distribute to management committee prior to monthly meeting
  • Attend, mediate, and facilitate management committee meetings
  • Publish general session minutes to community website
  • Provide training for management committee at monthly meeting and distribute information regarding educational opportunities to management committee
  • Prepare community newsletter as needed
  • Review and pay community bills
  • Monitor community budget for negative trends; reassess budget when necessary
  • Provide year-to-date expected income/expenses vs. actual to community (via website or newsletter)
  • Reconcile bank accounts
  • Award and terminate maintenance bids as approved by management committee
  • Initiate collection process for overdue account balances as directed by management committee or community fee schedule
  • Coordinate with attorney regarding escalating problems with property owners, including nonpayment of dues and noncompliance with CC&Rs (which are causing a devaluation of other property in the community); coordinate statements of intent to lien, lien filing, foreclosure proceedings, and other legal matters

QUARTERLY/SEMI-ANNUAL TASKS

  • Perform walk-around inspection of community and documentation of violations as per management committee requests
  • Elicit independent bids as needed for community maintenance services and review with management committee (i.e. snow removal, common area landscaping care and maintenance, common area facilities cleaning and maintenance, and pool services)
  • Supervise start-of-season services for common areas and resume utility services as needed
  • Supervise end-of-season services of common areas and suspend utilities as needed
  • Quarterly "CC&Rs and Community Q&A" open house forum for community residents
  • Assist management committee with organizing community-building activities and socials

ANNUAL TASKS

  • Notify members of annual HOA meeting; create agenda and compile financial and budget reports for the meeting
  • Prepare and disseminate year-end financial reports
  • Coordinate tax preparation and filing
  • Assist management committee with preparation of annual budget
  • Review insurance policies to ensure adequate coverage
  • Preparation for annual audit as requested by management committee

AS-NEEDED TASKS

  • Terminate maintenance vendors as requested by management committee and obtain new bids as necessary
  • Perform more frequent property inspections as requested by management committee
  • Assist management committee with preparation for special assessments
